About this career opportunity…

An exciting opportunity has arisen in our Dubai office for an experienced PA & office co-ordinator to provide robust and proactive support to all team members, including leaders.
This is a pivotal support role and will make a significant impact on how our teams operate and engage with our clients. The role will involve being the ‘go to’ person within the team, supporting colleagues in producing quality deliverables and ensuring smooth operations.

 

You will make an impact in this role by…

Supporting the Directors in Dubai as a PA assisting with managing their calls, diaries and appointments.

Supporting the team in project administrative activities in line with client requirements – this will include high-profile project work as well as routine administrative tasks, for example supporting on workload spreadsheets, gathering finance information to support invoicing or supporting the project team in adhering to internal procedures.

Duties will include but are not limited to: producing quality documents in line with the Arup brand, proofreading content to ensure consistency and good style, editing and making suggestions for improvements to text and presentations, creating first draft PowerPoint presentations if required. Providing secretarial and graphical support in the preparation of letters, reports, submissions and bids.

Working collaboratively with both project and team leaders in work winning activities – bids, PQQs and preparing supporting documentation such as CVs, project sheets, etc. Managing team holiday, absence administration and identifying welfare activities which arise from staff changes. Supporting new starters and their induction into Arup and the team, ensuring that their experience is smooth and enjoyable.

Taking ownership of organising internal events, including meetings, staff briefings, staff social events, and working in collaboration with the team leaders on client events. Assisting with recruitment as required, working with our internal resourcing team to schedule interviews with candidates. Assisting team and team leaders with diary management. Proactively gathering relevant details, booking meeting rooms and proactively liaising with relevant teams to organise AV requirements and refreshments required. Attending and taking minutes for meetings as requested, capturing actions and proactively ensuring that actions are completed.

Understanding the link between all Business Operations disciplines and being able to draw on these relationships to deliver high quality outputs both to internal and external clients. Being aware of H&S best practice, identifying risks, breaches or specific needs. Taking on H&S roles (workstation assessor, fire marshal or first aider). Promoting and sharing best practice within Business Operations.

General office duties in support of the business: prioritising and monitoring building maintenance, office equipment and supplies; assisting facility management daily operation; managing courier deliveries, and the incoming and outgoing post; organising accommodation and travel bookings for ME region staff.

 

To achieve in this role, you are likely to …

Demonstrate solid experience in a similar role, ideally in professional services, multi-disciplinary environment
Be an excellent communicator, both written and verbal
Be experienced in standard office administrative procedures
Be dedicated to achieving challenging deadlines
Be experienced in preparing submissions of a publishable quality
Have good customer service skills
Demonstrate strong knowledge of MS Office Suite, including Teams, Word, Excel, PowerPoint and use of Macros
Have good knowledge of online systems such as travel booking tools, job filing, room booking, etc.
Good knowledge of publishing software including InDesign, Microsoft Publisher
Be flexible, polite, cooperative and approachable manner
Be diligent and with attention to detail to produce impactful information
Have a can-do attitude and a willingness to work collaboratively
The ideal candidate will have an ability to build strong and positive relationships in a complex, multi-disciplinary environment. Furthermore, the candidate should be able to identify and utilise these relationships, ensuring efficiency within the team.
The ideal candidate must be self-aware, able to manage own resilience and be sensitive to others’ agenda. This is an essential part of the role and is key to developing valued working relationships, continually being mindful of impacts on the team, clients and internal colleagues.
Continuous improvement is a key part of this role and we expect the office co-ordinator to embrace this, demonstrating a growth mind-set. The role requires a proactive approach to learning and of developing new approaches.
Willingness and ability to take ownership of tasks or internal projects is key. The individual must be a problem solver and take initiative to resolve issues that they may face.
