We are looking to hire a Senior Administrator- Fit Out & Document Control who will be responsible for providing support for all administration services, document control duties, and coordination activities within the fit-out department for our Client based in Dubai- a large semi-government organization in Dubai.
This position is a contract role with an initial duration of 6 months and is renewable based on performance.
The role sits within the Senior Administrator- Fit Out & Document Control and reports directly to the Office Manager.
Controlling company and project documentation
Manage the flow of documentation within the organization
Maintain confidentiality around sensitive information and terms of the agreement
Prepare ad-hoc reports on projects as needed
Responsible for documentation requirements like a work order, change request, risk assessment, handover/closeout reports, payment, and invoicing documents that meet formal requirements and minimum standards
To provide support for Fit out Construction processes relating to documentation requirements for implementation, change requests, handover, and closeout of projects
Managing and controlling Fit out project documentation.
Support of day-to-day management, planning, organizing, and providing all administrative functions effectively and efficiently
To provide support in drafting work orders and change requests by collaborating with different teams/vendors and ensuring accuracy with the contractor framework agreements.
Enable the start of work by following up with necessary parties on completion and issuing purchase orders to the contractor and notifying necessary parties.
Logging of all Correspondence, Drawings, Procedures, Standards, Specifications, Vendor Drawings, Purchase Orders, Data Sheets, Manuals, etc. and generating internal transmittal for internal circulation of the same
Producing status reports whenever requested by the management and ensuring accuracy of such information as project timelines are critical
Knowledge, skills & experience:
5 years of experience in the fit-out / construction / architecture industry
3+ years of experience in document control
Strong organizational skills and ability to multi-task
Great communication skills
Excellent English language skills – written and verbal
Preference will be given to candidates available immediately
